Dear Training Provider,

 

As you will be aware, the web training system now has a live connection the SQA.net and all trainees registered with SQA are validated through the claims process, ensuring trainee registration and achievement of awards.

Not all providers have updated their trainee records within the training system, therefore may we reiterate the importance of reading through the information below, and the added points at the bottom. Should you have any queries after reading this, please contact the TMU Helpdesk for assistance.

To re-iterate the earlier information – where you have a trainee registered or to be registered with SQA, you will now require the Scottish Candidate Number (SCN) when entering the trainee’s data to our system. In addition, you will only be able to select a VQ from a pre-agreed list within the system and will be unable to manually enter VQ details, therefore please ensure that any milestone plans are submitted timeously if you intend to introduce a new VQ.

Once a trainee is in training – and this will affect those already active in the training system – we will validate their record with SQA to confirm registration on claiming the 2nd milestone payment. If a trainee has not been registered for the group award at this stage, your claim will be returned with a note detailing which trainee(s) has failed validation. It is your responsibility to rectify this situation with the awarding body/training centre before either resubmitting the claim, or before returning the trainee to the claim. Trainees can be removed from a claim while their record is corrected & claimed in a subsequent month if necessary to avoid delaying claims, but please bear in mind that this may result in Exceptional Approval being required, therefore it is in your interests to adhere to the programme rules and ensure all your trainees are registered with the awarding body – for the group award – prior to claiming the 2nd milestone. It is your responsibility as contracted training provider even if your trainees are registered by another organisation e.g. College/other Training Centre.

The 2nd time a trainee record will be validated with SQA will be when the VQ outcome is claimed. Again, if there is a problem with this validation, your claim will be returned to you with a note explaining which trainee(s) failed validation. As with the registration stage, a note will be entered automatically to the trainee assignment allowing you to check exactly what the problem is. If a trainee is validated as ‘achieved award’, the claim will pass to the Data Centre and no copy of certification is required by TMU. For Modern Apprentice trainees we will still require a copy of the MA certificate when the time comes.

Should a trainee change their surname etc. re-validation will be required with SQA, therefore if you have a trainee who changes their name, please ensure that you change the name with both SQA and us otherwise validation will fail

When you are entering a trainee to the training system, you will notice no changes until you reach the stage of entering the VQ details. Once you have selected the relevant VQ, the ‘Enter Awarding Body’ screen will appear, showing the VQ reference, and description. You are still required to enter the VQ level at this point. In addition, if the Awarding Body is SQA or SQA/xxx you will also be required to add the relevant Training Centre. The Training Centre list is sorted by number, but the names are also available. This list has been populated from information supplied by both training providers and SQA so should therefore be comprehensive, however, if you cannot find the training centre you require, please contact TMU immediately on 01870 604970 with both the centre name and number – Please be aware that this list is SQA training centres/numbers only. No other awarding body centres/numbers are required.

When you are returned to the trainee assignment screens, you will see a new field has been created. This field will automatically update from SQA at the relevant claim stages detailed above.

 

Non-SQA registered trainees will be taken through the same process. However, no Training Centre will be applied and the SCN will NOT be mandatory.

For GRFW trainees – when you are taken to the VQ reference number screen, click on the cancel button and you will be skipped through the VQ process. No additional data is required.

 

Fo TFW trainees – this process is also the same, however, as you are required to enter a training type and an SOC code, these fields will be mandatory as normal. No additional information is necessary – unless your trainee is following a VQ please DO NOT enter an awarding body.
