10 ways to... Prepare for Christmas

Whether you're gearing up for your busiest annual period or planning to shut down between Christmas and Hogmanay, there's plenty to do in the weeks to come. Planning now can prevent headaches later - this simple action plan may help
  1. Think about staffing levels. If December is likely to be a peak month for your business, you might need to take on temporary employees. Now is the time to talk to recruitment agencies or to advertise for staff.
  2. Think about important business correspondence you'll be sending out in December and remember that the festive mail rush could slow its arrival. Post any tax returns or invoices earlier than usual or (if possible) complete them online or via email.
  3. If you intend to have a Christmas shut-down, tell your customers well in advance. Make sure that their needs are taken care of before you shut up shop, which might mean making additional deliveries in December. Make sure they know how they can contact you in an emergency.
  4. If you are staying open during the festive period, stock up on supplies you will need. Some of your suppliers might close down for Christmas, so speak to them now to find out their plans. Work out what you will need and get your orders in now.
  5. Sending Christmas cards to valued customers (and those you hope to attract) can be an effective marketing ploy, even if it seems a bit clichéd. Pinpoint clients you'd most like to target and get your staff to sign cards to customers they deal with regularly, rather than doing an impersonal bulk mailing.
  6. If business is going to be slow during the holiday period, carry out maintenance work, redecorate or simply give your premises a thorough tidy and clean. It could also be the perfect opportunity to get all your non-urgent tasks done, as well as updating your business plan and other important business documents.
  7. If you're leaving them unattended during Christmas, think seriously about the security of your premises and any company vehicles. Make sure at least one person is contactable in the event of an emergency or security alert.
  8. Remember the safety of your data. Ensure all your electronic data is backed up on the day you close down for Christmas. Store the disks offsite.
  9. Don't forget minor tasks either, such as cancelling the milk and newspapers. To avoid your pipes freezing and bursting, make sure the hot water is set to come on once a day.
  10. If you haven't already done so, don't forget to organise your Christmas party. Good venues might already be booked up, so ring around now. Be sure to consult your staff on what you should do, where and when.
