As part of the training system development, we are currently working on establishing a data link with the SQA to enable verification of trainee registration and achievement. Subsequent to this, links with other awarding bodies will be taken forward also. In light of this, the SCN (Scottish Candidate Number) field is to become a mandatory field within the training system.

In preparation for this we now require training providers to begin the process of back entering the SCN number for those trainees already in the system. When entering a new start, the SCN field is in the first section of the 'New Start Details', however, for trainees already in training, the SCN field must be accessed via the Edit button in the 'Trainee Details' drawer of each trainee record.

To add the SCN please follow the process below:

  1. Click on 'Edit' .
  2. 'Amend Trainee Details' will display. The SNC field is immediately beneath the NI Number field
  3. Enter the SCN with no spaces and click 'Save'

The SCN number will be required when submitting claims for the 3rd milestone and for VQ achievement payments, it is therefore imperative that providers begin entering the numbers now to enable testing to be conducted and any issues to be resolved before the SCN field becomes mandatory - failure to supply an SCN will result in claims being returned automatically by the training system and could therefore impact on payment.

One final point you should be aware of - there have been instances in the past of duplicate SCNs existing for trainees, this problem is being addressed, however if you are unsure of your trainees SCN, please contact the SQA. Duplicate numbers will result in the same problems as no SCN at all.
